1. About this policy

This policy explains how Trinity Holistic Solutions (“we”, “us”, “our”) collects, uses, shares and protects information in connection with the mobile application Intelligent Business Manager (the “App”), distributed on Google Play under the package name com.trinityholisticsolutions.intelligentbusinessmanager.

The App is a business management and enterprise resource planning tool. Organisations (“Business Customers”) use it to run their own operations, including customers, sales, inventory, staff, expenses and reporting. Individuals use the App as authorised users of a Business Customer.

2. Information we collect

Account and identity information. Name, email address, phone number, organisation name, assigned role and permissions, and branch or location assignment. Used to create and authenticate accounts, apply access permissions, and associate a user with their organisation.

Business records entered by users. Depending on the modules an organisation uses, this may include customer and contact records, vendor records, employee records, products and services, quotations, sales orders, invoices, payments, expenses, inventory records, visit records and attached documents. This data belongs to the Business Customer; we process it on their behalf.

Device and diagnostic information. Device model, operating system version, app version, a unique installation identifier, IP address, and crash and error logs. Used to operate the service, maintain security and diagnose faults.

Location information. Where an organisation enables field features such as visit tracking or GPS check-in, the App collects device location at the time the user performs that action, and only while the device permission is granted. Location permission can be withdrawn at any time in device settings; the rest of the App continues to function without it.

Camera and images. The App can use the camera and photo storage so users can scan business cards, capture expense receipts and attach images or documents to business records. Images are uploaded only when a user chooses to capture or attach them.

Biometric authentication. Where a user enables biometric sign-in, authentication is performed entirely by the device operating system. We do not collect, receive, transmit or store biometric data. The App only receives confirmation that the device verified the user.

What we do not collect. We do not collect device contacts, SMS messages, call logs, the list of installed applications, or browsing activity outside the App.

3. How we use information

  • To provide, operate and maintain the App
  • To authenticate users and enforce role-based access permissions
  • To keep each organisation’s data separated from every other organisation’s data
  • To provide customer support
  • To diagnose faults and improve reliability and performance
  • To send notifications relating to the user’s own business activity
  • To comply with legal, tax and regulatory obligations

We do not sell personal information. We do not use business data for advertising. We do not use customer data to train machine learning models.

4. Legal basis

Where applicable law requires a legal basis, we rely on: performance of our contract with the Business Customer; legitimate interests in security, fault diagnosis and service improvement; consent for optional device permissions such as location and camera; and compliance with legal obligations.

5. Sharing of information

We do not sell personal information and do not share it for advertising purposes.

Within your organisation. Data entered into the App is visible to other authorised users of the same organisation, according to the roles and permissions configured by that organisation’s administrator.

Service providers. We use third parties to host and operate the service, processing data only on our instructions and under confidentiality obligations. Categories used: cloud hosting and database infrastructure; application crash and error reporting; push notification delivery; and email, SMS or messaging delivery where an organisation enables those features.

Legal reasons. We may disclose information where required by law, regulation, legal process or an enforceable governmental request, or to protect the rights, safety or property of our users or the public.

Business transfers. If our business is involved in a merger, acquisition or sale of assets, information may be transferred, remaining subject to this policy.

6. Security

We apply technical and organisational measures including encryption of data in transit using TLS, encryption of stored data, role-based access control, separation of each organisation’s data, authentication and session controls, and logging of significant actions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data retention

We retain personal and business data for as long as the Business Customer’s account remains active and as long as necessary to provide the service. Following account closure we delete or anonymise the associated data within 90 days, except where a longer period is required by law, including accounting and tax record-keeping. Crash and diagnostic logs are retained for a shorter period and then deleted.

8. Your rights and account deletion

Depending on your jurisdiction you may have the right to access, correct, delete, restrict or object to processing of your personal information, to receive it in a portable format, to withdraw consent where processing relies on consent, and to lodge a complaint with a data protection authority.

If you use the App as an authorised user of an organisation, please raise requests with that organisation’s administrator first, as they control the data. You may also contact us directly.

To request deletion of your account and associated personal data, email contact@trinityholisticsolutions.com with the subject line “Account Deletion Request”, stating your registered email address and organisation name. We acknowledge requests within 7 days and complete verified deletions within 30 days, other than data we are legally required to retain.

9. Children

The App is a business tool intended for people aged 18 and over. It is not directed at children and we do not knowingly collect personal information from children. If we become aware that we have, we will delete it.

10. International transfers

Data is processed on infrastructure operated by us and by our hosting partners. Where information is transferred outside your country of residence, we apply the safeguards required by applicable law.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date above reflects any change. Where a change is significant we will notify Business Customers through the App or by email.

We retain personal data as long as necessary to fulfill the purposes for which it was collected and to comply with legal obligations. Upon termination of a client account, we securely delete or anonymize personal information, unless retention is required by law.

6. Your Rights
